Apostille for Panama
family records & residency papers

Moving to Panama on a deadline? We handle your FBI background check, apostille and certified Spanish translation in one San Jose office — same-day California apostille and expedited FBI apostille, so your residency file is ready on time.

Is Panama a Hague country? Yes

Panama has been part of the Hague Apostille Convention since 1991, so a single California Secretary of State apostille makes your U.S. documents valid there — no Panamanian consulate legalization. From our San Jose, California office our Spanish-speaking team notarizes and apostilles your birth, marriage, FBI, and power-of-attorney documents, translates them into Spanish, and can apostille the translation too.

Apostille vs. legalization

For Panama, you need an apostille
not consulate legalization

How it works

Four steps to a document
Panama will accept

1

Bring or prepare the document

We notarize affidavits and powers of attorney on site, or you bring certified vital records and your FBI report.

2

Apostille it

State documents go through the California Secretary of State; FBI reports get a federal apostille. You handle neither.

3

Certified Spanish translation

We translate your apostilled document into Spanish in-house, including the apostille certificate, and can apostille the translation as well.

4

Pick up or ship

Collect in San Jose the same day on rush, or we ship it tracked to you or to Panama.

Common questions

Apostille for Panama
questions, answered straight

My Panama move is weeks away. Can you rush everything?
Yes. California apostilles can be same-day when you drop off by 10 AM, we take FBI fingerprints in our San Jose office, and our expedited federal apostille takes about 9 business days when your FBI report reaches us by Wednesday. We plan the whole packet backward from your filing date so nothing expires before you file.
Can you handle the FBI background check, apostille and Spanish translation in one place?
Yes. We take your fingerprints for the FBI background check, handle the federal apostille, apostille your California records, and prepare the certified Spanish translation, with an apostille on the translation when needed. One office and one point of contact, in English or Spanish.
Panama rejected my documents. Can you fix them?
Bring the rejected documents and any notice you received. We review what went wrong, such as the wrong type of copy, a state apostille on a federal record, or a translation problem, and redo only what needs redoing, on rush if your date is close.
I don’t live in San Jose. Can you still help?
Yes. You can order online and mail your documents to us, and we return the finished documents by tracked shipping. Bay Area clients can walk in Monday to Friday, 9 AM to 6 PM.
Is Panama part of the Hague Apostille Convention?
Yes. Panama has been a member since 1991, so U.S. documents only need a single apostille from the California Secretary of State to be accepted there. You do not need a separate legalization from a Panamanian consulate or embassy.
Do I need a Panamanian consulate to legalize my documents?
No. Because Panama accepts apostilles, the California apostille is the final step — there’s no consulate legalization. That’s faster and cheaper than the chain non-Hague countries require.
Do my documents need to be translated into Spanish?
Usually. We provide certified Spanish translations at our San Jose, California office and can apostille the translation as well. Some Panamanian offices ask for a translation by a Panamanian traductor público autorizado instead, so confirm with the office handling your file.
What documents do I need apostilled for Panama residency?
For pensionado, Friendly Nations, or marriage-based residency you typically apostille your FBI background check, birth certificate, and marriage certificate, each with an official Spanish translation. Confirm your category, then bring the documents to us.
How recent does my FBI background check need to be for Panama?
Panamanian immigration expects a recent FBI background check, and the accepted window can change, so confirm it with the attorney handling your file. We can obtain and apostille a fresh report so it is still valid when you file.
How fast can I get a Panama apostille?
Standard runs about 30 days, with priority, rush, and same-day options for tighter deadlines. On same-day service you can walk in and leave with the finished, translated document the same day.
How much does an apostille for Panama cost?
Standard is $85 (about 30 days), Priority $200 (about 2 weeks), Rush $350 (3 to 5 business days) and Same-Day $450 when you drop off by 10 AM. Extras, such as notarization, are quoted when you call or come in — so you get an exact price for your documents, with no surprises. The seal is identical at every speed, so if your date is months out, take the standard tier and keep the money.
My documents keep expiring before I file. How do I stop that?
This is one of the most common problems with residency files. Several documents are treated as valid only for a limited window from their issue date, and slow processing eats that window — so people order records early, wait on an apostille, and find the record has aged out before the file is complete. The fix is sequencing: order the records last, not first, and apostille on a tier that matches your filing date rather than the cheapest one.
Can you apostille my Panamanian birth certificate?
No. A California apostille only goes on a document issued by a California authority. A record issued in Panama is authenticated there under their own process. What we seal are your U.S. records — a California birth or marriage certificate, an FBI background check, a notarized affidavit.
Do I need a state apostille or a federal one?
It depends on the issuer. California vital records, diplomas and notarized affidavits go the state route. An FBI Identity History Summary is federal and authenticated in Washington, D.C. instead — different office, different timeline. Sending one down the other route gets it returned unprocessed.
Does the translation have to be done in Panama?
Not always. We translate the apostilled document in San Jose, including the apostille certificate, and can apostille the translation itself, which many offices accept. Some Panamanian offices insist on a traductor público autorizado licensed in Panama, so ask the office handling your file first.
I am applying as a pensionado. What actually needs sealing?
Typically your birth certificate, an FBI background check, and proof of the pension income, with a marriage certificate if a spouse is included. Requirements change, and residency files in Panama are normally submitted through a Panamanian attorney, so get the current checklist from your attorney and bring it in — we will tell you which items are ours and which are not.
My spouse and children are applying with me.
Each person generally needs their own records apostilled, plus the marriage and birth certificates that connect you. We handle the family packet in one visit so everything carries the same date and nothing ages out while waiting on the rest.
Something came back on my FBI report. Can you still apostille it?
Yes. The apostille authenticates the document, not its contents, and we do not assess what it says. What Panamanian immigration does with the information is their decision — and if it concerns you, one worth discussing with an immigration attorney before filing.
Can I mail my documents in?
Yes. Send the certified originals to our San Jose office and we return the sealed documents. Same-day is the exception, since it depends on the document physically reaching us by 10 AM.
What usually gets a Panama document refused?
An expired underlying record, a photocopy where a certified copy was required, a translation attached before the seal, or a federal document sent to the state office. The expiry one catches more people than the rest combined.
