Apostille Services for Palo Alto
including powers of attorney

California has no apostille counter anywhere in the Bay Area. We notarise and apostille from our San Jose office instead, from $85 for standard processing up to $450 for same-day.

Power of attorney apostille

Notarised and apostilled in the same visit

A power of attorney is a private document, so it cannot go to the Secretary of State until a California notary has witnessed the signature. That is two separate steps, and doing them in two places costs you a week.

Sign it here, not before you arrive

Bring the unsigned document and valid photo identification. The notary has to watch you sign — a signature added at home cannot be notarised afterwards, which is the single most common reason a power of attorney gets sent back.

Then it goes to Sacramento

Once notarised, the Secretary of State authenticates the notary’s commission. We handle that submission, so the document leaves our office finished rather than starting a second errand. Full power of attorney apostille details.

Four steps

How to apostille a document from Palo Alto

One visit to San Jose, or none at all if you would rather send it.

1. Bring the document unsigned

If it needs notarising, do not sign it beforehand. Bring valid photo identification and sign in front of the notary at our San Jose office.

2. We notarise and check it

A California notary witnesses the signature, and we confirm the document qualifies before submission so it is not returned unprocessed.

3. Submitted to the right authority

California documents go to the Secretary of State. Federal documents such as an FBI Identity History Summary go to the U.S. Department of State in Washington.

4. Collect the sealed original

Collect it in San Jose or have it returned to your Palo Alto address. Same-day documents received by 10 AM are ready by 6 PM.

Common questions

Palo Alto apostille, answered

Where can I get an apostille in Palo Alto?
There is no apostille counter in Palo Alto or anywhere in the Bay Area — California apostilles are issued by the Secretary of State, and we make that submission for you from 434 Blossom Hill Road in San Jose, about 20 minutes away. You hand over the document; we handle the routing, the review and the collection.
How do I apostille a power of attorney in Palo Alto?
Bring the unsigned document and valid photo identification to our San Jose office. A California notary witnesses your signature, then the Secretary of State authenticates the notary commission. We do both, so you make one trip instead of two. Pricing runs from $85 for standard processing to $450 for same day.
Is Palo Alto in Santa Clara County for vital records?
Yes. Palo Alto sits in Santa Clara County, so birth and marriage certificates are issued by the Santa Clara County Clerk-Recorder in San Jose. East Palo Alto is different — it is in San Mateo County, and those records come from Redwood City. Bringing a record from the wrong county office is a common and avoidable delay.
Can I get a same-day apostille from Palo Alto?
Yes, for California-issued documents. Same-day service is $450 per document and the document must reach us by 10 AM. You collect the sealed original by 6 PM the same evening.
What goes wrong when people handle it themselves?
Three causes account for most refusals: a copy that was not certified by the issuing office, notarial wording that does not meet California requirements, or a translation attached before the seal instead of after. A refused document comes back without an explanation, so the mistake is usually discovered only when the office abroad rejects it — by which point the deadline has moved.
My power of attorney was refused overseas. Why?
Usually because a generic form left out a specific authority the receiving office required. The apostille was valid; the document was not. Ask the notary, lawyer or registry abroad to tell you in writing what the POA must contain, and bring that in with you — it is the difference between one visit and three.
I have a deadline in two weeks. Which tier do I need?
Tell us the date and we will name the cheapest tier that still makes it. A genuine two-week window is usually covered by the mid tier, and same-day is unnecessary. We would rather quote the lower one and be right than the higher one and be safe.
Does the apostille expire?
The apostille itself carries no expiry, but the receiving office may require the underlying record to be recent — often within three or six months. A new seal on an old certificate does not restart that clock, so check the age requirement before ordering.
Do I need a translation, and when?
It depends on the destination. Where one is required the order matters: apostille first, translate second, because a translation attached beforehand is not covered by the seal. We prepare translations in-house and keep them paired with the original.
Can you notarize it here as well?
Yes, in the same visit. An affidavit or power of attorney must be notarized before it can be apostilled, and the notarial block is one of the three things that gets documents refused. Doing both in one office removes that risk.
Can I mail it instead of coming in?
Yes. Send the certified original to our San Jose office and we return the sealed document. Same-day is the exception, since it depends on the document physically reaching us by 10 AM.
I need my Stanford diploma or transcript apostilled.
Those usually need to be notarized as true copies first, or issued directly by the registrar, before they can be apostilled — which of the two depends on the institution abroad that is receiving them. Bring what you have and we will tell you which route yours needs.
How do I know whether my country needs an apostille or legalization?
Tell us the destination. Hague Convention countries take an apostille; the remaining few need consular legalization, which is a longer chain. The list moves — Vietnam joined in September 2026 — so older guidance is worth double-checking.
Can you tell me why my document was refused?
Usually. Bring the document and any notice that came with it, and we will identify the cause before you pay for anything. Sometimes it is fixable; sometimes the underlying record has to be reordered, and you are better off knowing which.
What about an FBI background check apostille?
That is a federal document, so it goes to the U.S. Department of State in Washington rather than to California. There is no counter you could visit yourself. We take the fingerprints here, obtain the report through our channeler partner, and submit it for the federal apostille.
