Apostille Services for Santa Clara
checked before it leaves the counter

The city of Santa Clara and the County of Santa Clara are not the same office, and sending a document to the wrong one is the most common reason a Santa Clara apostille comes back unsealed. We confirm which issuing authority your document needs, then handle the authentication from our San Jose office. From $85 standard, or same-day when you drop off by 10 AM.

City, county, state — three different offices

The county office is not where the seal comes from

Where your document is issued

A birth or marriage record for a Santa Clara resident is issued by the Santa Clara County Clerk-Recorder, whose office sits in San Jose — not at Santa Clara City Hall. City Hall issues nothing that can be apostilled. If you have been told to “go to the county,” that trip ends in San Jose, a few minutes from us.

Where the apostille is issued

Neither office applies the apostille. Only the California Secretary of State can authenticate a California record, and only the U.S. Department of State can authenticate a federal one. That is the step you cannot complete locally, and the step we handle without you driving to Sacramento.

Why the distinction costs weeks

A federal document sent to Sacramento is returned unsealed, and a California record sent to Washington is returned the same way. Each wrong turn costs the full processing window again. We identify the correct route at the counter, before anything is submitted.

What we check first

Whether your copy is certified rather than photocopied, whether the notarisation is still valid, whether a translation is needed and in which order, and whether your destination country accepts an apostille at all.

Documents we authenticate

What Santa Clara clients bring us

Notary stamping an employment verification letter before apostille for a Santa Clara employer

Employment and HR letters

Verification-of-employment letters, offer letters and salary confirmations for staff relocating abroad are the most common request from Santa Clara employers. These are private documents, so they must be notarised before the state will authenticate them. We notarise and submit in one visit.

Diplomas and transcripts

Santa Clara University and Mission College records need the registrar’s original signature or seal, and a sealed transcript must stay sealed. Opening the envelope to check it is the most common way an academic apostille fails. Diploma apostille details.

Corporate and incorporation records

Articles of incorporation, certificates of good standing, board resolutions and powers of attorney for foreign subsidiaries. Certified copies must come from the Secretary of State, not your own file copy. Corporate document apostille.

Birth and marriage certificates

Certified copies from the Santa Clara County Clerk-Recorder in San Jose, or from CDPH. A hospital souvenir certificate can never be apostilled. Birth certificate apostille and marriage certificate apostille.

Single status affidavits

Required to marry abroad, and drafted rather than requested — no office issues one. We draft it to the destination country’s wording, notarise it and send it for authentication. Single status affidavit details.

FBI background checks

A federal record, authenticated in Washington rather than Sacramento, so it takes longer. Many consulates ask for this rather than a state record. FBI apostille details.

Questions we are asked

Santa Clara apostille, answered

Where can I get an apostille in Santa Clara?

There is no apostille office in the city of Santa Clara. Only the California Secretary of State can apostille a California document, and only the U.S. Department of State can apostille a federal one. We handle both from our San Jose office, about 15 minutes away, so you do not travel to Sacramento or Washington.

Is the city of Santa Clara the same as Santa Clara County?

No, and confusing them is the most common local mistake. The city is one of fifteen in the county. Vital records for anyone born or married in the county are issued by the County Clerk-Recorder in San Jose, not at Santa Clara City Hall. City Hall issues nothing that can be apostilled.

Can I get a same-day apostille if I live in Santa Clara?

Yes, for California-issued documents. Drop off by 10 AM and collect the sealed original by 6 PM the same day. Federal documents such as FBI background checks cannot be same-day because they route through Washington.

How long does an apostille take for a Santa Clara resident?

Standard processing runs 30 or more business days. Two-week, five-day and same-day tiers are available when your deadline is tighter. The tier changes only the processing speed, never the validity of the seal.

I have a deadline in two weeks. Which tier do I need?

The five-day tier, not the two-week one. Two weeks of processing leaves no margin for a translation, a correction or a courier delay. If the deadline is fixed, five-day or same-day is the safer choice.

My employer needs a verification letter apostilled. What do I bring?

Bring the letter unsigned, or signed in front of us. A verification-of-employment letter is a private document, so it must be notarised before California will authenticate it. If it arrives already signed elsewhere without a notarisation, it usually has to be redone.

Can you apostille a Santa Clara University diploma or transcript?

Yes. A diploma needs the registrar’s original signature or seal, and a transcript must stay in its sealed envelope. If the envelope has been opened, the registrar has to issue a fresh one before it can be authenticated.

What actually goes wrong when people handle it themselves?

A photocopy submitted where a certified copy was required, a translation done before authentication instead of after, a notarisation that has expired, or a federal document sent to Sacramento. Each mistake costs the full processing window again.

My document was refused overseas. Can you tell me why?

Usually yes. Bring the document and any rejection notice. The reason is rarely the seal itself. More often it is the wrong issuing authority, a missing translation, or a country that requires consular legalisation rather than an apostille.

Does the apostille expire?

The apostille itself does not expire. Many consulates will not accept an underlying record older than three or six months, so a birth certificate issued years ago may need to be reordered even though its apostille is valid.

Do I need a translation, and when?

Only if the destination country requires one, and the order matters. The apostille is applied to the original document first, then the translation is prepared and certified. Translating first is a common and expensive error.

Can you notarise it here as well?

Yes. A commissioned California notary is on site, so a private document can be notarised and submitted for authentication in the same visit rather than across two trips.

Can I mail it instead of coming in?

Yes. Mail the document to 434 Blossom Hill Road, San Jose, CA 95123 with a note naming the destination country and your deadline. We call before submitting if anything needs correcting, and we can courier the sealed original back.

I need several documents done at once. Is it cheaper?

Each document carries its own state fee and its own apostille, so there is no bulk discount on the state charge. Submitting them together saves courier costs and keeps the set on one timeline, which matters when a consulate wants them as a package.

Do you serve Sunnyvale, Cupertino, Milpitas and San Jose too?

Yes. Our San Jose office serves the whole South Bay, and most clients from these cities reach us in under 25 minutes. Walk in Monday to Friday, 9 AM to 6 PM, or book an appointment.
