Apostille Services for Mountain View
done right the first time

A rejected document costs weeks, and the reason is almost never the seal — it is a photocopy where a certified copy was needed, a translation done in the wrong order, or a federal record sent to a state office. We check yours before it goes anywhere, then handle the authentication from our San Jose office, 20 minutes from Mountain View. From $85 standard, or same-day when you drop off by 10 AM.

The short answer

Two routes, and only one is drivable

California documents and federal documents are authenticated by two different authorities. That distinction decides whether you could do this yourself.

Your documentAuthenticating authorityWhat sends it back
California birth certificate, marriage certificate, diploma, power of attorney, court recordCalifornia Secretary of StateA photocopy instead of a certified copy, a notarial block that does not meet state wording, or a translation attached before the seal. Each one restarts the clock.
FBI Identity History Summary (federal background check)U.S. Department of State, Washington, D.C.Sent to a state office by mistake, or an opened report. Federal records have no California counter and no walk-in option anywhere in the Bay Area.

This is the part most people find out late. A state record and a federal record travel completely different routes, and a document sent down the wrong one comes back unprocessed — weeks lost, and the deadline still where it was. Federal records are the harder of the two: they are authenticated only in Washington, D.C., with no Bay Area counter and no walk-in option at all.

California apostille pricing

Pick the speed your deadline needs

Per document, with the state fee included in every tier. The seal is identical at every speed — you are paying for the calendar, not a better document. If your date is months out, take the standard tier and keep the money. If you are holding a consulate appointment or a start date this month, that is exactly what the faster tiers are for. Tell us the deadline and we will name the cheapest tier that still makes it.

FBI apostille is priced separately because it routes through Washington: $350 per FBI report, or $450 with fingerprinting included, in 9 to 12 business days. ATA-certified translation is available as a paid add-on. See the full apostille service page or the FBI apostille page.

Documents we authenticate

What Mountain View residents bring us

Birth certificates

Must be a certified copy from the county recorder or CDPH — a hospital souvenir certificate cannot be apostilled. Santa Clara County records come from the Clerk-Recorder in San Jose, close to our office. Birth certificate apostille details.

Marriage certificates

A certified copy, not the decorative ceremony certificate. Commonly needed for spousal visas, dual citizenship and property matters abroad. Marriage certificate apostille details.

FBI background checks

The federal route. We take the fingerprints here, obtain the FBI Identity History Summary through our channeler partner, then send it to the U.S. Department of State for the apostille. FBI apostille details.

Diplomas, transcripts and powers of attorney

Education records usually need a notarised registrar signature first. Powers of attorney we can notarise and apostille in the same visit, so the document leaves finished. Power of attorney apostille details.

Getting married abroad? We handle the single status affidavit apostille. US federal documents take the federal apostille route. Help is also available in Tiếng Việt, 廣東話 and Español.

Four steps

How to get a document apostilled from Mountain View

You make one trip, or none at all. Everything after that happens from our side.

1. Bring or send the document

Drive 20 minutes down Highway 85 to 434 Blossom Hill Road in San Jose, or courier the document to us if a trip is not practical.

2. We check it qualifies

We confirm the copy is certified and the signature qualifies before submission, because uncertified copies are the most common reason an apostille is refused.

3. Submitted to the right authority

California documents go to the California Secretary of State. Federal documents such as an FBI Identity History Summary go to the U.S. Department of State in Washington.

4. Collect the sealed original

Collect it in San Jose or have it returned to your Mountain View address. Same-day documents received by 10 AM are ready by 6 PM.

Common questions

Mountain View apostille, answered

Where can I get an apostille in Mountain View?
There is no apostille counter in Mountain View or anywhere in the Bay Area. California apostilles are issued by the Secretary of State in Sacramento or Los Angeles. We handle the submission from our office at 434 Blossom Hill Road in San Jose, about 20 minutes from Mountain View down Highway 85, so you do not make the drive yourself.
How long does an apostille take for a Mountain View resident?
It depends on the tier you choose: 30+ business days at $85, about two weeks at $200, five business days at $350, or same day at $450 when the document reaches us by 10 AM. FBI background check apostilles run 9 business days when the document is in our office by Wednesday (12 business days if it arrives after Wednesday) on the expedited track.
Can I get a same-day apostille if I live in Mountain View?
Yes, for California-issued documents. Same-day service is $450 per document and the document has to be with us by 10 AM, which is realistic from Mountain View outside peak traffic. You collect the sealed original by 6 PM the same evening.
Do I need an apostille for immigration documents?
It depends on which country is receiving them. Documents going to a Hague Convention country get an apostille. Documents going to a non-member country need consular legalization instead, which is a different process. Call us with the destination country and we will tell you which route applies.
What actually goes wrong when people handle it themselves?
Three things, and each costs weeks. The copy was not a certified copy from the issuing office. The notarial wording did not meet California requirements. Or a translation was attached before the seal instead of after. A refused document does not come back with an explanation, so most people only learn which mistake they made when the receiving office abroad tells them — by which time the deadline has usually moved.
My document was refused. Can you tell me why?
Usually, yes. Bring the document and any notice that came with it. We will identify the cause before you pay for anything — sometimes it is fixable, sometimes the underlying record has to be reordered, and you are better off knowing which.
I have a deadline in two weeks. Which tier do I need?
Tell us the date and we will name the cheapest tier that still makes it. If two weeks is genuinely the window, the $200 tier usually covers it and the $450 same-day is unnecessary. We would rather quote you the lower one and be right than the higher one and be safe.
Does the apostille expire?
The apostille carries no expiry date, but the office receiving it may require the underlying record to be recent — often within three or six months. A new seal on an old certificate does not restart that clock. Check the age requirement with the receiving office before ordering.
Do I need a translation, and when?
It depends on the destination. Where one is required, the order matters: the document is apostilled first, then translated, because a translation attached beforehand is not covered by the seal. We prepare translations in-house and keep them paired with the original.
Can you notarize it here too, or do I need that done first?
We do both in one visit. An affidavit or power of attorney must be notarized before it can be apostilled, and the notarial block is one of the three things that gets documents refused. Doing both steps in the same office removes that risk.
Can I send it by mail instead of coming in?
Yes. Mail or courier the certified original to our San Jose office and we return the sealed document to you. Same-day service is the exception, since that depends on the document physically reaching us by 10 AM.
I need several documents done at once. Is it cheaper?
Pricing is per document, and the tier applies to each. What does save you is doing them together — one review, one submission batch, one collection, and no risk of one document taking a different route from the rest.
How do I know which country needs what?
Tell us the destination and what the document is for. Hague Convention countries take an apostille; the remaining few need consular legalization, which is a longer chain. The list changes — Vietnam joined in September 2026 — so it is worth confirming rather than relying on older guidance.
Is an FBI background check handled the same way?
No, and this is the most expensive mistake to make. The FBI report is a federal document authenticated in Washington, D.C., not by California, and it runs 9 business days when the document is in our office by Wednesday (12 business days if it arrives after Wednesday) on the expedited route. Sending it to a state office wastes the trip entirely.
Do you serve Palo Alto, Sunnyvale, Los Altos and Cupertino too?
Yes. The same Highway 85 corridor covers Palo Alto, Sunnyvale, Los Altos, Cupertino, Saratoga and Los Gatos, and all are inside the 10 AM same-day window. For the East Bay we offer document pickup and return for a travel fee based on distance.
