Apostille Milpitas residents rely on
for documents going anywhere
Whether your document is bound for India, China, Mexico, Vietnam, the Philippines or anywhere else, the route depends on the destination — and picking the wrong one costs weeks. We confirm what your country requires, then handle the authentication from our San Jose office. From $85 standard, or same-day when you drop off by 10 AM.
Which route your country takes
Most destinations take an apostille
More than 125 countries are members of the Hague Apostille Convention, including India, Mexico, South Korea, Japan, Brazil and most of Europe. For these, one apostille from the correct authority is all that is needed — no consulate visit, no embassy queue.
The list has grown recently
China joined in November 2023 and Vietnam in September 2026, replacing the consular legalisation route both previously required. Guidance written before those dates is out of date, and following it means paying for a step that no longer exists. The Vietnam change explained.
A few still require legalisation
Countries outside the Convention need a longer consular route instead, and an apostille will not be accepted there. We check the destination before anything is submitted rather than after it is refused. Apostille or legalisation.
The check takes five minutes
Tell us the destination country and the office receiving the document. We confirm the route, whether your copy is certified rather than photocopied, whether it needs notarising first, and whether a translation is required and in which order.
Pick the speed your deadline needs
FBI apostille is priced separately because it routes through Washington: $350 per FBI report, or $450 with fingerprinting included, in 9 to 12 business days. ATA-certified translation is available as a paid add-on. See the full apostille service page or the FBI apostille page.
What Milpitas clients bring us
Birth certificates
Certified copies from the Santa Clara County Clerk-Recorder or CDPH, for dual citizenship, school registration abroad, family registration or a child’s records. A hospital souvenir certificate cannot be apostilled. Birth certificate apostille.
Marriage certificates
For spousal visas, family registration, property matters and name changes overseas. Certified copies only — a keepsake or ceremonial certificate will be refused. Marriage certificate apostille.
Degrees and transcripts
For employment, further study or professional registration abroad. The registrar’s original signature or seal is required, and a sealed transcript must stay sealed. Diploma apostille details.
FBI background checks
Required for residency, long-stay visas and adoption in many countries. Federal, so authenticated in Washington rather than Sacramento, which makes it the slowest item in any packet — start it first. FBI apostille details.
Powers of attorney and affidavits
To let relatives handle a property sale, an inheritance or a bank matter abroad, or a single status affidavit to marry overseas. Drafted, notarised and authenticated in one visit. Power of attorney apostille.
Business and employment records
Certificates of good standing, articles of incorporation, board resolutions, and verification-of-employment letters for staff relocating abroad. Corporate document apostille.

Milpitas apostille, answered
Where can I get an apostille in Milpitas?
There is no apostille office in Milpitas. A California document is apostilled only by the California Secretary of State, and a federal one only by the U.S. Department of State. We handle both from our San Jose office, about 20 minutes from Milpitas, so you do not drive to Sacramento.
How do I know if my country needs an apostille or legalisation?
It depends on whether the destination is a member of the Hague Apostille Convention. More than 125 countries are, and they take an apostille. Non-members require a longer consular route instead. Tell us the country and we will confirm before anything is submitted.
Can I get a same-day apostille if I live in Milpitas?
Yes, for California-issued documents. Drop off by 10 AM and collect the sealed original by 6 PM. FBI background checks cannot be same-day because they are authenticated in Washington.
How long does an apostille take for a Milpitas resident?
Standard processing runs 30 or more business days, with two-week, five-day and same-day tiers available. The tier changes processing speed only, never the validity of the seal.
I have a deadline in two weeks. Which tier do I need?
Five-day, not two-week. Two weeks leaves no margin for a translation, a correction or a courier delay, and a missed consular appointment costs far more than the difference in tier.
Does India accept an apostille?
Yes, India is a long-standing Hague member, so a degree, marriage certificate or affidavit takes an apostille rather than embassy attestation. Some receiving bodies in India ask for their own attestation once the document arrives, which is a separate step handled there.
Does China accept an apostille now?
Yes. China began accepting apostilles in November 2023, replacing the consular legalisation route. Instructions written before that date still describe legalisation and are out of date.
Does Vietnam accept an apostille now?
Yes. Vietnam joined the Hague Apostille Convention with effect from 11 September 2026, so documents now take an apostille instead of consular legalisation. If you were told to send documents to the Vietnamese consulate, that instruction predates the change.
What about documents for the Philippines or Mexico?
Both accept apostilles — the Philippines since 2019 and Mexico for many years. The requirement people most often miss is that the underlying copy must be a certified copy from the issuing office, not a photocopy.
Do I need a translation, and when?
Only if the destination requires one, and the order matters. The original English document is apostilled first, then translated and certified. Translating first is the most expensive common error. ATA-certified translation is available here.
What actually goes wrong when people handle it themselves?
A photocopy where a certified copy was needed, a translation done in the wrong order, an expired notarisation, or a federal record sent to Sacramento. Each mistake costs the full processing window again.
My document was refused overseas. Can you tell me why?
Usually yes. Bring the document and any rejection notice. The reason is rarely the seal itself. More often it is the wrong issuing authority, a missing translation, or out-of-date instructions about legalisation.
Does the apostille expire?
The apostille does not expire. Many receiving offices will not accept an underlying record older than three or six months, so an older certificate may need to be reordered even though its apostille is valid.
Can you notarise it here as well?
Yes. A commissioned California notary is on site, so a private document such as an affidavit or a power of attorney is notarised and submitted in the same visit rather than across two trips.
Can I mail it instead of coming in?
Yes. Mail to 434 Blossom Hill Road, San Jose, CA 95123 with a note naming the destination country and your deadline. We call before submitting if anything needs correcting, and we can courier the sealed original back.
